Roll Calls & Events Guide



Overview


The CRUISIN Roll Calls & Events System allows you to keep all your cruises organized - both current and past. You must be a member of the CRUISIN community in order to join in the CRUISIN Roll Calls & Events. You become a member by registering (it's FREE). Once you are a member of the CRUISIN community you will see additional member links under the main "Roll Calls & Events" tab at the top of the page. These additional member links will include: "My Current Roll Calls" and "My Past Roll Calls".



What CRUISIN's Roll Call & Events System Offers

  • 1. The ability to meet and interact with other cruisers going on the same cruise as yourself.
  • 2. The ability to easily schedule and organize events for before, during, and after your cruise.
  • 3. A great way to spread the word to friends and family. Easily share your roll calls on a social networks or through email.
  • 4. All of your current CRUISIN Roll Calls & Events are organized for you under your own - "My Current Roll Calls".
  • 5. All of your past CRUISIN Roll Calls & Events are organized for you under your own - "My Past Roll Calls".
  • 6. An easy way to stay in touch with or reconnect with cruisers you have met on past cruises.


  • Do not be overwhelmed by all of the specific details in the guide below.
    The CRUISIN Roll Call & Events System was built to walk you step-by-step through the process of starting and/or joining Roll Calls & Events. You DO NOT need to read any of the additional information below in order to use the system. The information posted below is for those interested in viewing the specific details and capabilities of our system.





    Roll Calls Guide


    How To Start/Join a Roll Call

    To start a roll call you will first need to search if a roll call already exists for the cruise. You will do this by selecting/entering the search criteria below on the Roll Call & Events Page. (see Screen Shot 1 below)


    To SEARCH for a ROLL CALL you will need:

    • Cruise Type (Ocean or River)
    • Cruise Line
    • Cruise Ship
    • Embarkation Date
    • Embarkation Port

    If the search does not yield any results a button will then display to "Start A Roll Call" based on the information you just entered. (see Screen Shot 2 below)


    Do Not start a roll call unless you are positive you are going on that cruise. The person who starts the roll call will be the only one who can edit the cruise information if something changes. The person who starts the roll call will have an "Edit Cruise Information" button on the top right of the roll call page where they can change/update the cruise information.


    To START a ROLL CALL you will need:

    • Embarkation Time
    • DST (whether or not you port will be in Daily Light Savings Time)
    • Standard Time Zone (the time zone that your port is in)
    • Cruise Region (drop down box with options)
    • Cruise Length (number of nights)
    • Roll Call Forum Link
    • Number of Ports of Call

    • The Embarkation Time, DST, and Time Zone information allow for displaying the most accurate "Time Till Cruise" on your Roll Call page. (see Screen Shot 3 below & see Screen Shot 6 below)


      If a Roll Call Forum has not been created prior to starting the roll call you can always go back and add the forum link after by using the "Edit Cruise Information" button mentioned above. You will need to enter the full url address for the forum link. The forum link will then display on the Roll Call & Events page making it easier to move between the two. (see Screen Shot 6 below)


      When you enter the Number of Ports of Call, you will need to click "Start A New Roll" first, then the page will expand to allow you to enter the Port names and dates. (see Screen Shot 4 below)


      When joining a Roll Call you can enter as much or as little information or as you like. (see Screen Shot 5 below)


      To JOIN a ROLL CALL you will need:

      • First Name (required)
      • Last Name (required, minimum of first initial)
      • Hometown (required, but can be as vague as a state or country)
      • Show Profile Picture (yes/no)
      • Email address (optional)
      • Facebook Page (optional)
      • Age (optional)
      • # of Previous Cruises (optional)
      • Cabin # (optional)
      • Dining time (optional)
      • Additional Guests (option to sign up additional family/friends)

      • The Additional Guests option will allow you to sign up additional family/friends who are going on the cruise and are not members of the CRUISIN community. They will appear in the Roll Call list as your guest. If at a later time they become a member of the CRUISIN community and are able to join themselves, you can easily go back and edit your information to remove them as your guest. You will see an "Edit My Roll Call Information" button on the top right of the Roll Call page. You can edit your information at any time.

        How To Start/Join an Event

        Once you have started/joined a roll call you will then be able to start/join Roll Call Events under that roll call. Events can be anything from a Pre-Cruise get together at the local pub to a Port Day scuba excursion - basically anything you might want to invite other CRUISIN members going on the same cruise to join in on. We have provided a list of standard events to choose from. these standard events have information already written up making it very easy for you to get an event started. You can also choose to create a completely new and unique event, the choice is yours and the options are unlimited.


        The Roll Call Events section has a lot of pre-defined options for you to use and if that doesn't fit your specific needs then you have some ability to define your own. (see Screen Shot 7 below)


        To START an EVENT you will need:

        • Event Name
        • Event Type (Pre-Cruise, Sea Day, Port Day, Post-Cruise)
        • Date
        • Start Time
        • End Time
        • Location
        • Guest Limit (optional)
        • Guest Type Required (yes/no), whether you need to know if guest is an adult or minor)
        • Cabin Hosts Needed (yes/no), whether you need guests to offer their cabins to be used for the event)
        • Paid Event (Paid, Pay Optional, Free)
        • Close Sign Up By (optional, last day to sign up for the event)
        • Event Details (enter all your event details)

        The individual who starts the event is automatically positioned as the "Event Coordinator". The "Event Coordinator" can then add additional event coordinators to the event by selecting "Edit Event Information" button at the top right of the event page. Under "Edit Event Information" the original Event Coordinator can select any other individual who has signed up for the event as an additional event coordinator. The additional event coordinator will then also have access to edit and update event information.


        If you select that this is either a "Paid" or "Pay Optional" event above, additional payment options will appear. (see Screen Shot 8 below)


        The EVENT PAYMENT OPTIONS include:

        • When To Pay (Pay Before Cruise or Pay At Event)
        • Event Cost
        • Must Be Paid By (this option shows if Pay Before Cruise is selected above)
        • Payment Options (PayPal, Mail A Check, or Both; this option shows if Pay Before Cruise is selected above)
        • PayPal Code (paste PayPal code here; this option shows if PayPal or Both are selected above)
        • Mailing Address (enter address to mail a check here; this option shows if Mail A Check or Both are selected above)

        The "Event Cost" option above will only allow you to enter a single event cost. If your event has different costs, for instance adults and minors, enter those specific details in the "Event Details". You will also be able to setup PayPal with options for differing amounts.


        To JOIN an EVENT you will need:

        • This will depend on what is requested by the Event Coordinator who starts the event.
        • Additional Guests (option to sign up additional family/friends); this option will be available for all events.

        Occasionally no additional information is needed other than you selecting you want to join the event. If you end up changing any information about yourself under the roll call, all events you have joined under that same roll call will automatically be updated with your new information.
